Downloads: PC Utilities
The PC Utilities download contains the files normally contained on the PC Utilities Diskette. Use these files to transfer MARC records and perform Inventory. Download the ZIP file then read the first file (_Install PC Utilities.pdf) to get started.
FAQs -- Library Management System
Q) I am receiving the error "CWBTF0023 - PC file description file was not specified or is empty" when loading MARC records.
A) The Details pop-up default entries have changed. Call for
instructions on how to change the entries.
Q) When I check out a book, the following error displays: "Circulation not allowed for patron type."
A) See LM125 (Define Library Item Groups). Circulation periods are assigned to patron types based on System and Library item groups. If you do not know the System/Library item group for the item you are trying to circulate, see LM320 (Maintain Library Items File).
Q) Where do I set the maximum amount of fines a patron has to owe before I receive a block in Check out?
A) See LM220 (Define Patron Circulation Rules).
Q) How do you exit a patron search program?
A) The key is hidden on the screen. Press <F22> (Shift + <F10>).
Q) How do I get off the Interrupt Screen?
A) Use <F23> to lock your workstation and protect it from unauthorized use. A workstation locked using <F23> can only be unlocked with your user profile.
Q) How do I reset a busy flag in LM304 when I receive the following error message: "This record is in use and not available for Change or Delete."?
A)
Go to Green Screen, then
JWALK Screen.
Identify the control number of the title.
Fast Path to LM304.
At the Action bar, type L4 and press <Enter>. Type the title of the book and press <Enter>.
Press <F5>. The control number displays. Write the control number down.
Press <F12> to exit the list.
At the Action bar, type C and <Tab> to Control number.
Type the Control Number, press <Field Exit>, and press <Enter>.
Receive the error message. Press <Reset> to clear the error message.
Press <F3> to exit LM304.
Fast Path back to LM304 and repeat steps 2 - 6. It may take three attempts to release the busy flag.
Identify the control number of the title.
Fast Path to LM304.
Click List/Title.
Click Numbers. The control number displays. Write the control number down.
Click Cancel.
Type the Control number and click Change.
Click OK to clear the error message.
Click Exit.
Fast Path back to LM304 and repeat steps 2 - 5. It may take three attempts to release the busy flag.

Q) What is an in-route day?
A)
An in-route day is the day used in delivering the media
center item to the school site.
Q) What is the difference between Return Date and Due date?
A) Return Date is when the media center item should be returned to the school. The Due date is when the item should be returned to the media center.

Q) How can I attach a range of bar codes?
A) Fast Path to LM320 (Maintain Library items file). Click Add and select Add a range of bar codes. Type the bar code range in the From bar code: To bar code: fields and click OK.

Q) What does the Meriwether logo represent?
A) Meriwether Lewis was part of the famous Lewis and Clark Expedition that explored the unsettled American West from 1804 to 1806. They passed through present day Montana near Gateway’s headquarters. Meriwether Lewis and William Clark are the figures portrayed on the Meriwether logo.
Q) Is it possible to search only my library?
A) Yes. Simply click the down arrow next to the Search by library field and then select your library from the drop-down list. Make sure the radio button for this field is selected and complete your search as normal. Cookies must be enabled to "lock" the library.
Q) I have never used Meriwether before. What is my password? What is my pin number?
A) Passwords for first time users are set by your school district; your media specialist should know what this is. Your pin number is the last four digits of your home telephone number as it exists in the Media Management System.

Q) Do I have to fill in all the selection criteria fields?
A) The only required fields are building and location. The other fields are used to filter which barcodes will be printed. Also, if you are printing barcodes generated from the barcode range and not the AS/400, only the barcode fields are required.
Q) My labels are printing to the wrong printer. How can I change printers?
A) From either the Print Patron Barcodes or the Print Item Barcodes window, click Setup. Click Printer. Click Select. Click the down arrow at the printer name field and choose the correct printer from the drop-down list. Click OK three times to return to the print barcodes window.
FAQs -- Inventory
Q) I finished scanning all my items. Do I have to Update Inventory Shortages (LM522) immediately?
A) LM522 does not need to be run immediately. However, for maximum accuracy, the update should be run as soon after the completion of scanning the barcodes as possible.
Q) Does my library have to be closed while I am performing inventory?
A) No. Circulating items, including any items checked in or out, are automatically accounted for by the software.
Q) What steps can be eliminated by using the RF Scanner instead of the PT-815.
A) The RF Scanner places all barcodes on the AS/400 in a readable format as they are scanned. The PT-815 collects the barcodes and then they must be transferred to the AS/400. The following steps need to be performed if the PT-815 is used but can be skipped by users of the RF Scanner:
Purge PT-815 data
Upload collected barcodes from the PT-815 to a PC
Backup the PC file
Transfer the inventory data from the PC to the AS/400
Convert the transferred data on the AS/400

Q) How do I receive items in document mode?
A) Fast Path to WH206. Type 'R' at the action bar. Type the correct System type, Vendor ID, and Document number at the bottom of the screen. Press Enter. On page two, type the Stock code, Unit cost, and Quantity to be received. Press Enter. The Stock description and Extended cost will now appear on the screen. Press Enter. On the confirmation pop-up, type the Receipt date (if different than the current date), Reference number (optional), and Order type/number (optional). If you want to post the receipt to inventory, type 'Y'. Otherwise, type 'N'. Press Enter.
Q) When processing a bid, from which program is a stock code's bid minimum coming?
A) The bid minimum comes from WH201. If a bid minimum has not been defined for your warehouse in WH201, the bid minumum comes from WH200.
Q) Can I restrict users to a system type and catalog?
A) Yes. Fast Path to WH890. Type 'C' at the action bar. Type the Fiscal year and the Classification code the user has been assigned. Press Enter. On page two, type the System type and Catalog to which the user will be restricted. Press Enter.
Q) Is there a way for me to transfer stock to another warehouse?
A) Yes. Fast Path to WH230. Type 'E' at the action bar. Type the System type and Warehouse location from which the stock is being tranferred. Also type the Transaction date if different than the current date. Press Enter. On page two, type the Stock code and Quantity to be transferred. Type 'T' for the Transaction type. Type the System type and Warehouse location into which the stock is being transferred. Type the reason for the stock transfer. Press Enter. Type 'Y' on the confirmation pop-up and press Enter.
FAQs -- Work Order System
Q) What is the new WO455 super program and how do I activate it?
A) The WO455 super program combines WO455 (Work Order Maintenance), WO460 (Assign Parts to Work Orders), and WO464 (Enter Labor and Close a Work Order) into one program. With this feature, you can assign parts, enter labor, record outside costs, and close work orders from within a single program. To activate this feature, Fast Path to WO400. Type 'C' at the action bar, type the current Control year, and press Enter. On page 2, type 'Y' at "Access Parts/Labor from WO455?" and press Enter.
Q) How do I auto approve work orders?
A) Fast Path to WO400. Type 'C' at the action bar, type the current Control year and press Enter. On page 2, type 'Y' at "Auto approve WO's?" and press Enter.
Q) What program assigns scheduled work orders?
A) WO408 is used to assign scheduled work order tasks to your defined service units. However, WO881 creates and prints the scheduled work orders.
Q) Can I edit a work order that has been closed?
A) Yes, but only if your user profile in WH899 has been defined as one that can edit closed work orders.
